Most small businesses we onboard in Mesa are already on Microsoft 365 or Google Workspace, and many are wondering if they picked the right one. Here’s our honest take after migrating dozens of East Valley offices both directions.

The short answer

For most small and mid-size businesses in the East Valley, Microsoft 365 is the safer default — especially if you have any compliance, accounting, professional services, or government work. Google Workspace is excellent for fully cloud-native, collaboration-heavy teams under 25 people.

Where Microsoft 365 wins

• Outlook is still the dominant business email client — clients and vendors expect it
• Excel does things Google Sheets simply doesn’t (pivot tables, Power Query, real macros)
• Teams integrates with phone systems, conference rooms, and external partners more naturally
• Microsoft Defender + Intune give you enterprise-grade security at small-business prices
• Most line-of-business software (QuickBooks, AutoCAD, EHR systems, etc.) assumes Windows + Office

Where Google Workspace wins

• Real-time collaboration in Docs and Sheets is still smoother than Microsoft’s version
• Gmail’s spam filtering is the best in the business
• Google Meet “just works” for ad-hoc video calls
• Faster setup for brand-new businesses with no legacy data

What people get wrong

Both platforms are not secure out of the box. Multi-factor authentication, conditional access, and proper email protection have to be turned on and configured. We see Mesa businesses get phished on both platforms equally often when those settings are skipped.

Switching costs are real

Migrating from one to the other is doable but not free. Email, files, calendars, contacts, and shared mailboxes all need careful handling. Budget 2–4 weeks for a clean migration on a 20-person office.
